Entry of Working Time and Leave Requests

Working Time Entry

**Only Biweekly Non-Exempt Employees will enter Working Time. Monthly Exempt Employees do NOT enter Working Time.**

Biweekly employees are required to enter the amount of time they work each day. This can be completed on a daily, weekly, or biweekly basis. Biweekly working time must be entered & approved by the payroll period deadline in order for the employee to be paid for the time worked.

Initial Entry of Working Time: This video will walk you through how to enter working time. 

Adjusting Working Time: This video will walk you through how to reduce or increase the amount of time you worked. NOTE: If a leave request has been entered for the day on which you are adjusting working time, you must adjust or delete the leave request and your supervisor must approve the changes prior to entering the adjustment to your working time. 

Deleting Working Time: This video will walk you through deleting your working time entries. NOTE: Do NOT enter a zero (0) as working time. If you did not work, please leave the box for that day blank. Entering a zero will block your ability to enter a leave request for that day.

 

Leave Request Entry

**All employees (faculty, staff, biweekly, monthly, exempt, non-exempt) are expected to enter leave requests for time away from the office per HR Policy #80.0 Vacation Leave and HR Policy #82.0 Temporary Disability Leave.**

All employees are required to submit a request for vacation, TDL, holiday, or FML absences. This should be completed and approved prior to the absence per the UK HR Attendance 

Initial Entry of Working Time: This video will walk you through how to enter working time. 

Adjusting Working Time: This video will walk you through how to reduce or increase the amount of time you worked. NOTE: If a leave request has been entered for the day on which you are adjusting working time, you must adjust or delete the leave request and your supervisor must approve the changes prior to entering the adjustment to your working time. 

Deleting Working Time: This video will walk you through deleting your working time entries. NOTE: Do NOT enter a zero (0) as working time. If you did not work, please leave the box for that day blank. Entering a zero will block your ability to enter a leave request for that day.

Biweekly working time entries MUST be approved prior to the payroll period deadline in order for the employee to be paid for his or her time worked. It is the responsibility of the employee's direct supervisor to approve the working time entries on time each biweekly payroll period.

Initial Approval of Working Time: This video will walk you through how to approve working time. 

Approval of Adjusted Working Time: This video will walk you through how to approve working time that has been reduced or increased. NOTE: Approval of reduced working time must be completed in order for the employee to be able to enter a leave request. 

Approval of Deleted Working Time: This video will walk you through approving working time entries that have been deleted. NOTE: If an employee needs to delete working time and enter a leave request, you must APPROVE the deletion of the working time. Do not reject the deletion of working time (if appropriate).

 

Leave Request Approval

Biweekly leave requests MUST be approved prior to the payroll period deadline in order for the employee to be paid for leave. It is the responsibility of the employee's direct supervisor to approve the working time entries on time each biweekly payroll period. Leave requests for monthly employees need to be approved in a timely fashion so that leave balances are up to date and correctly record an employee's attendance.

Approval of Adjusted Leave Request: This video will walk you through how to approve a leave request that has been reduced or increased. NOTE: Approval of reduced  or deleted working time must be completed in order for the employee to be able to enter a leave request. 

Approval of Deleted Leave Request: This video will walk you through approving the deletion of a leave request. NOTE: If an employee needs to delete a leave request and enter working time, you must APPROVE the deletion of the leave request before the employee will be able to enter working time. Do not reject the deletion of the leave request (if appropriate).
